Corporate Services Specialist

Job Purpose

Reporting to the Vice President, Finance and Corporate Services (“Supervisor”) and receiving direction and working with the Chief Commercial Officer (CCO), the Corporate Services Specialist supports the daily operations of the organization. They are responsible for maintaining corporate policies and procedures, ensuring the effective implementation of procurement activities and facilities administration. The Corporate Services Specialist also maintains professional, timely operational support across all business lines to advance CAGBC’s strategic priorities.
RESPONSIBILITIES
Procurement
- Work with business lines and procurement/contract third parties to address procurement enquiries.
- Ensure that contract approval follows current procurement policy and procedures, all agreement types are appropriately administered and appropriate backup documentation is in place and saved.
- Liaise with legal counsel to ensure agreements are up-to-date and the organization is protected.
Business Solutions
- Support and as requested, lead and implement the development, coordination and review of new and existing corporate policies, procedures, guidelines and work instructions, and carry out training and respond to inquiries.
- Support the implementation of operational systems, structures and approaches, including work processes, workflows and procedures.
- Review electronic filing system, propose adjustments and lead efforts to organize and arrange proper access to electronic files.
Facilities Administration
- Maintain relationships with property managers at all three CAGBC locations.
- Assist with all physical office technical and service-related matters.
- Oversee the procurement and monitoring of the inventory of office supplies and assist with managing corporate services contracts, i.e., preparing order forms, specific contracts and requests for services, and liaising with external suppliers when necessary.
Office Operations
- Assist with general business support, including electronic document archiving, filing, document registration, etc.
- Provide advice and support to all staff on matters relating to corporate services, i.e. business travel, meeting organization, facilities management, expense reports, etc.
- Support corporate communication with all staff.
- Support the planning, evaluating and implementing of corporate initiatives and special projects.
Other Responsibilities
- Perform related duties and responsibilities as assigned by the Supervisor.

Skills
- Excellent verbal, interpersonal and written communication skills and the ability to answer questions and solve problems.
- Excellent project management and organizational skills, including the ability to multi-task and manage numerous projects concurrently.
- Demonstrated administration and customer service skills.
- Experience in corporate services within a not-for-profit organization.
- Demonstrated experience working with and/or contracting external vendors and consultants required;
- Excellent proficiency with the MS Office suite of programs (Excel, Word, PowerPoint, Outlook, Access, MS Forms, SharePoint, Teams etc.)
- Willing to participate in ongoing education and training for the role.
- Bilingualism and experience in a not-for-profit environment are assets.
PERSONAL ATTRIBUTES
- Good judgement, problem-solving, and relationship-building skills, and fully capable of working in team-oriented, in person and virtual environments.
- Strong technical understanding, the ability to pick up new tools quickly, and the capacity to complete tasks self-directedly.
- Familiarity with LEED and/or an interest in the environment, climate action or sustainable building.
Education and EXPERIENCE
- Minimum 5 years’ experience in some combination of business or facilities administration or equivalent with progression of responsibilities.
- Post-secondary education in business administration or equivalent.

Compensation
$55,000.00 - $65,000.00 per year
